Admittance of Guests into the Ceremony Hall (Free Seating)

• Guests with guest tickets only will be allowed to enter the hall at the stipulated time.

Note: Children below 12 years old are NOT allowed into the hall.

Wheelchair-bound Guests

Please inform us (email to [email protected]) if any of your guests are wheelchair bound. This will enable us to arrange appropriate seating for the guest. We would appreciate it if this can be done one week before the convocation ceremony.

Graduand Dress Code

Attire for graduands — formal

• Male graduands — Long sleeved collared shirt and long pants. Formal shoes. A jacket/ blazer/ suit may be worn if desired. Traditional wear may be worn if preferred.
• Female graduands — Long sleeved blouse with long skirt or pants. Dress may be worn if desired. The length of the dress should be longer than the graduation gown. Court shoes with reasonable heel height. Traditional wear may be worn if preferred.

Note: Jeans, shorts, T-shirts, mini skirts, sports shoes, sandals and slippers are NOT allowed. UOW Malaysia reserves the right to refuse admittance to any graduand who is inappropriately dressed.

Please come prepared with safety pins and/or hair pins (to secure the hood and/or mortar board). Assistance will be provided on how to put on the graduation gown, hood and/or mortar board.

Bags

• Graduands are NOT to bring in any bags/ iPads/ tablets into the Convocation Hall during the Convocation ceremony.
• All bags/ iPads / tablets are to be kept in the robing rooms.

Rules and Regulations to be observed

During the Convocation ceremony

• Photography is strictly prohibited in the hall as there is a professional photographer to assist in taking photos.
• All mobile phones are to be switched off throughout the ceremony.
• Graduands are to remain seated in the graduand area during the ceremony except when called upon to receive their scroll.

After the Convocation ceremony

• Graduands are to remain seated in the Convocation Hall until after the departmental photo session is taken.

Graduands who attend the Convocation ceremony will be given the parchment during the ceremony itself.

Those who do not attend the Convocation ceremony can collect their parchment from the Examination Department at the Glenmarie Campus from 25 November 2024 (Monday) onwards.

Note:

• Proof of the completion of the Tracer Study is needed for the collection of the transcript and certificate. Therefore, even if you do not collect the documents in 2024, please complete the Tracer Study before 31 December 2024.
• Collection in person or by a representative will depend on the SOP by the Government.
• The collector has to abide by SOP and come at the appointment time.

Refund of Deposit 

The refund of deposit can only be done using the Request for Refund (Convocation Deposit) Form. This form will be given on the day of collection of the graduation attire.

• The deposit will be refunded only IF the graduation attire (gown, hood and/or mortar board) is returned in good condition on the required date.
• For refund by bank deposit or telegraphic transfer, submit the Request for Refund (Convocation Deposit) form when you return your graduation attire. Please be reminded that the last day to submit the form is on 13 December 2024 (Friday).

Photography

UOW Malaysia has appointed Foto Prime to be the official photographer. There will be photo studios set up for you to take photos after the Convocation ceremony.
